YOUR EVERYDAY TIME MANAGEMENT SKILLS
Did you know that good time managers are better individuals? Time management gives you all the time to do all the things you want. It makes you more profitable. It reduces stress, increases energy, gives you time to rest, and helps you get more things done.
1PLAN YOUR TIME AND ACTIVITIES
Time is a crucial part of our lives that should be adequately managed. Planning time maximizes all the time in our exposure. The regular intervals of activities have no room for other activities that are not meaningful but still consume a lot of our time like social media.
Make a proper plan, catalog all tasks you want to accomplish, and allocate each activity a distinct amount of time to accomplish it. If you are in an office setting, make time for meetings, preparations, and even small details like how to reach the specified location.
Plan well for all upcoming deadlines, and events beforehand. When you finalize each task, mark it down. It gives you peace of mind and confidence to move to the next task.
2SET REMINDERS
The busy nature of work or other distractions that might arise on the way might entirely make you lose track of time. Put in place reminders; alarms and alerts to prompt you of upcoming events or tasks that need to be completed. Put the reminders in such a way that it gives you enough time to work on your tasks. Ensure you have enough time to gather yourself up and arrange everything you know that is needed. Reminders help us to be more beneficial individuals, and it saves time, resources, and energy.
3PRIORITIZE IMPORTANT ACTIVITIES
There's so much to do and so little time to do all of them. Know what is pressing and focus on it immediately. The act of prioritizing helps us to do important things first and then the less important things later. In an office setting, for example, important things include time-conscious tasks respectively. Knowing how to use your time wisely means a difference between getting things done and being late all the time and screwing things up.
Prioritizing helps you manage time wastage more than you can realize. Make a well-laid-out schedule of all significant things ie answering emails first, writing reports, doing searches, etc, and allocate each activity a set of time to do the task. If the call or meeting you're about to get into will only take your time and zero productivity for example the colleague is so chatty then make the call later when you have done all important tasks.
Do not juggle everything at once. It consumes all your time with minimal results. Dropping a well-progressing thought or activity is going to check your cooking food on the stove while you were exercising will mean starting all over again to gain your heart rate.
4RESPECT YOUR TIME AND DEMAND OTHERS DO THE SAME
A constant distraction from the constant needs of others is not healthy for your time management recovery journey. Respect your time by adhering to it and demand others to do the same. The constant banging on your door by colleagues to keep you updated on the latest or the constant messages on your social media are just consuming your precious time meant for vital things. Inform them of the proper and appropriate way and time for socialization ie during breaks or after work.
Time consumed outside of your scheduled activities will never be recovered. The interruption should be well justified, and its relevance and importance should be well laid-out. Interruptions interludes your concentration and your line of thought, which will require a lot of time to get back into. Time management means more productivity, more work done in less time, and quality impressive work.
5STOP PROCRASTINATION
People put tasks off for later attendance for varied reasons. Understand your tasks and responsibilities well and work on the hard ones first most preferably after a well-rested night. Individuals tend to postpone tough and unpleasant jobs for later. Deal with it as soon as possible and get it out of your way. Put in place goals you want to achieve for example read and send all reports before noon. This technique should force you into achieving your goals in the allocated time and stop procrastination.
Preparation is also key to battering procrastination. Plan yourself and your activities well ahead of time. Being prepared gives you more confidence and energy to complete your tasks. Procrastination stems from the fear of failure which can be conquered through preparation.
6FOCUS ON A SINGLE ACTIVITY
It feels like a superpower juggling all those activities at once. Sending emails, and finishing your report while chatting with your colleague. It is not. Study shows that it leads to poor performance and consumption of more time. Separate your work and do similar activities together. It's more efficient and saves time.
Focusing on so many things at once causes confusion and undue accidents. A well-established schedule means all the things you want to be done have their own time and will not push you to multitask. A boost to this is blocking out any distractions that come your way for example turning off your notifications for emails and social media alerts. Set a time to check this at once.
7KNOW HOW YOU SPEND YOUR TIME
Know and understand how you spend your daily time. Identify the activities that are consuming your time with zero or minimal returns.
Evaluate how you spend your time;
-
Do you get everything planned done and on time?
-
Which tasks take more time and which need more time.
-
When are you most productive?
Answering these questions gives you a clear picture of how your time goes. It will help you decide what to do with the realization. This time audit will help you see where you are going wrong and how you ended up not doing as much as you would have.
Make adjustments to fit your desired changes and set new goals. Be more time conscious and alert in the sense of time. Make adjustments to help you keep track and to help eliminate or add other activities that favor your new undertaking.
However, you have decided to spend your time, evaluating how it's working for you. Are you achieving your daily goals? is there a balance in your life, work, school, or home?
Successful time management makes you a better person overly. It promotes a positive attitude and even better all-around health as you will have time for yourself. Reexamine your time management techniques if you feel out of balance.
